Your privacy matters to us. This Privacy Policy explains how Tratok Hospitality collects, uses, stores, and protects your personal information when you use our Service Provider Portal. By using the Platform, you consent to the practices described in this Policy.

When you register for and use the Platform, we collect information you voluntarily provide, including:

  • Account information: full name, email address, phone number, password (stored in hashed form)
  • Business information: business name, business type, address, city, country
  • Listing information: property/activity/restaurant details, descriptions, photographs, pricing, coordinates
  • Payment information: bank account details, IBAN, SWIFT/BIC codes, payment method preferences
  • Communications: messages sent through the Platform, support tickets, feedback

1.2 Information Collected Automatically

When you access the Platform, we may automatically collect:

  • Device and browser information: IP address, browser type, operating system, device identifiers
  • Usage data: pages visited, features used, time spent on the Platform, click patterns
  • Cookies and similar technologies: session cookies for authentication, preference cookies, and analytics cookies

1.3 Information from Third Parties

We may receive information from payment processors to verify transactions, from Guests in the form of reviews and ratings, and from publicly available sources to verify business information.

2. How We Use Your Information

We use the information we collect to:

  • Create and manage your account and authenticate your identity
  • Display your Listings to potential Guests on Tratok platforms
  • Process bookings, payments, and payout requests
  • Communicate with you about your account, bookings, and Platform updates
  • Provide customer support and resolve disputes
  • Generate analytics and reports to help you understand your business performance
  • Improve, personalise, and develop new Platform features
  • Detect and prevent fraud, abuse, and security incidents
  • Comply with legal obligations and enforce our Terms of Service

3. How We Share Your Information

3.1 With Guests

Certain information from your Listings is shared publicly with Guests, including your business name, listing descriptions, photographs, pricing, location, and aggregate review ratings. Your personal email address and phone number may be shared with Guests who have confirmed bookings, solely for the purpose of facilitating the booking.

3.2 With Service Providers

We may share information with payment processors to facilitate transactions, cloud hosting providers who store data on our behalf, analytics services that help us understand Platform usage, and email service providers for transactional communications. All such providers are bound by data processing agreements and may only use your information as instructed by us.

3.3 For Legal Reasons

We may disclose your information if required to do so by law, regulation, or legal process, or if we believe in good faith that disclosure is necessary to protect the rights, safety, or property of Tratok, our users, or the public.

4. Data Security

We implement industry-standard security measures to protect your information, including:

  • Encryption of passwords using bcrypt hashing
  • CSRF protection on all form submissions
  • Secure (HTTPS) transmission of data between your browser and our servers
  • Regular security audits and vulnerability assessments
  • Access controls limiting who within our organisation can access personal data

While we take reasonable precautions, no method of electronic transmission or storage is completely secure. We cannot guarantee absolute security of your information.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with our services. If you close your account, we will delete or anonymise your personal data within 90 days, except where retention is required by law (such as financial records for tax purposes) or necessary to resolve disputes or enforce our agreements.

Listing content (descriptions, photographs) may be retained in anonymised form for analytical purposes after account closure.

6. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal information:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate or incomplete data
  • Deletion: Request deletion of your personal data (subject to legal retention requirements)
  • Portability: Request a machine-readable copy of your data
  • Objection: Object to processing of your data for certain purposes
  • Restriction: Request that we restrict processing of your data in certain circumstances
  • Withdraw Consent: Where processing is based on consent, withdraw that consent at any time

8. International Data Transfers

Your information may be transferred to, stored in, and processed in countries other than your country of residence. When we transfer data internationally, we ensure appropriate safeguards are in place, including standard contractual clauses or equivalent mechanisms approved by relevant data protection authorities.

The Platform is intended for use by individuals aged 18 and older. We do not knowingly collect personal information from anyone under the age of 18. If we become aware that we have collected data from a minor, we will take steps to delete that information promptly.
